The Legal Services Manager and Paralegal Assistant works in tandem with each other.  

 

Paralegal Assistant: We are looking for  creative thinker and collaborator to develop and manage the
company’s paralegal program. The right person will be responsible for a reduced caseload in litigation or
restructuring, research law, investigating facts, and prepare documents by performing the below stated
duties. You will be supervised by the Legal Service Manager who will oversee work allocation and
promote paralegal utilization to deliver extraordinary client service.

Essential Duties and Responsibilities include but are not limited to the following:

  • Reviewing surveys, title commitments and exception documents.
  • Preparing documents relating to a variety of real estate, loan and construction matters, based on
    consultation with business clients and review by attorneys, including but not
    limited to agreements, leases, loan documents, and standard construction contracts.
  • Preparing ancillary real estate transaction documents such as escrow instructions, deeds,
    easements, owner’s affidavits, closing certificates, entitlements, etc.
  • Providing general assistance in real estate, lending, construction and leasing transactions.
  • Proofreading legal documents to ensure accuracy and consistency.
    Analyzing and summarizing documents, zoning ordinances and statutes for review by attorneys.
  • Working closely with attorneys to resolve a variety of day-to-day issues and supporting a
    broad range of commercial transactions and projects.
  • Performing legal due diligence.
  • Multi-tasking and prioritizing work assignments to consistently provide high-quality
    work product within stated deadlines.
 
 

Legal Services Manager: We are looking for someone to develop and manage the company’s paralegal program. The Manager will be responsible for a reduced caseload in litigation or restructuring and the supervision of paralegals.  The Legal Service Manager will oversee work allocation and promote paralegal utilization to deliver extraordinary client service.

Essential Duties and Responsibilities include but are not limited to the following:

  • Overseeing caseloads for clients billable hours, while supervising a team of paralegals.
  • Managing the assignment system for paralegals in our US offices and collaborating with various departments and managers to address business needs.
  • Monitoring the workloads and professional development of paralegals to ensure an equitable distribution of assignments that align with client requirements.
  • Providing real-time feedback to paralegals and participating in the Firm’s performance management process.
  • Identifying training needs for paralegals and offering guidance and mentorship.
  • Creating and implementing orientation programs and onboarding processes for new paralegal hires.
  • Handling payroll timekeeping, including the approval of overtime and other time and payroll policies.
  • Summarizing cases and preparing reports for attorneys, conducting research, investigating facts, and developing legal arguments.
  • Drafting legal documents such as contracts, depositions, and pleadings, and preparing and filing documents with courts.
  • Organizing and archiving documents related to completed and ongoing cases and staying informed about changes in the legal framework to provide timely updates.

Minimum Qualifications:

  • Bachelor’s degree, 2-5 years of experience in law firms, especially in small to mid-sized firms, and a background in litigation or restructuring. Transactional experience is considered a bonus.
  • The ideal candidate should have proven management skills in overseeing paralegals, including training, work allocation, and evaluations.
  • Strong communication and interpersonal skills, the ability to work under pressure, and professionalism in all situations are essential.
  • Effective interaction with various personnel levels, including attorneys, firm management, and business professionals, is also required.
