Administrative Support Staff

The Administrative and Executive Assistant will provide support to operations by performing functions related the staffing and administrative functions.

Administrative Assistant: Responsible for providing administrative support such as managing calendars, scheduling appointments, organizing meetings, and handling correspondence. Must possess strong organizational skills and attention to detail.

Executive Assistant: Support high-level executives by managing schedules, coordinating travel arrangements, preparing reports, and facilitating communication between departments. Requires excellent communication and decision-making abilities.

Essential Functions:

  • Maintains related staffing logs
  • Prepares paperwork for HR for newly hired employees
  • Liaison to Clients for all related paperwork and invoices
  • Reconciliation of timesheets
  • Uses payroll system to ensure timesheets are correct for payroll processing
  • Assist employees with completing forms and any related questions
  • Ensures company’s compliance adherence and certifications are maintained, for all licensed and commissioned colleagues.

Knowledge, Skills & Abilities:

  • Excellent organizational and communication skills
  • Attention to detail
  • Problem solving abilities
  • Bi-lingual a preferred, not required
  • Payroll systems experience preferred.

Experience & Education:

  • High School Diploma **required. Bachelors (preferred)
  • Minimum of 1 year related work experience in the above listed Essential Functions
  • Experience in professional settings required. No retail.
